News :: Cancellations
For the second event in a row this year, epic.EIGHTEEN has sold out. We wont be adding in any more rooms or squeezing more people in to the space we have at this stage. You may see spare seats on the seating plan, but these have all been paid for just not selected yet by the ticket holder.
We will therefore have a waiting list for any cancellation tickets that may arise.
As you probabaly all know by now, epic.SEVENTEEN has sold out. We wont be adding in any more rooms or squeezing more people in to the space we have at this stage. You may see spare seats on the seating plan, but these have all been paid for just not selected yet by the ticket holder.
We will therefore have a waiting list for any cancellation tickets that may arise.
It's been a while since we had to make one of these posts but epic.FOURTEEN has SOLD OUT of participant tickets! Huge thank you to the team and community for supporting the event and making it well and truely our biggest yet. We do still have spectator tickets available, so if you want to come along and watch the action, then grab a spectator ticket for the weekend!
That means we're now into a waiting list scenario for the next couple of days with tickets and cancellations. Here's how it works:
Sorry it's tight turnaround on the emails, but with only a few days before the event, both cancellations and new tickets will want to know where they stand quickly before the weekend.
See you at epic.FOURTEEN in a couple of days!
As of 4.00pm, we're now at the 4 week point prior to epic.FOURTEEN, which means that the cancellation deadline has now gone. As explained in our cancellation policy, within 28 days of the event, we're unable to process any more cancellations unless the event entirely sells out and we are then able to resell your ticket. This deadline is because at this point we have to pay all of the bills out to our suppliers such as the venue based on our expected numbers.
Besides, why would you want to cancel anyway, it's going to be epic! CU @ epic14!
The cancellation deadline for epic11 has now passed and therefore from this point forwards we are unable to process any refunds for the event unless it entirely sells out and we are able to re-sell your space.
The reason for this deadline is that from the 28 day period before the LAN, our major expenditure all gets paid out, such as the venue hire, equipment rental, insurance etc. and therefore the ticket income has been committed to those items.
The deadline for requesting any new epic.TEN refunds has now passed as the event is a mere 28 days away. Refunds on any cancellations beyond this point will only be available if the event is fully sold out and tickets can be re-sold to the waiting list.
While this may seem harsh, the reason behind it is simply that all of our major expenses for the event have to be paid out by one month before too. So once we've paid the huge costs for things like the venue, the ticket money is no longer available to refund.
So on that note, let's begin the final countdown to epic.TEN!
Well we've hit that mere weeks mark, which means that the cancellation cut-off time has now passed for epic.EIGHT. Any cancellations that have already been requested prior to 4pm today will be processed within our normal 28 day turnaround time, but from this point forward we will not be able to accept any refund requests unless the event entirely sells out and your place can be re-sold to another participant on the waiting list. Similarly, we would like to remind everybody that tickets are not transferrable, ID spot-checks will be made at the check-in desk to prove that the ticket is being used by the original account holder.
Please be aware that, in line with our cancellation policy, the cancellation deadline for epic.FIVE has now passed. From this point forward we are unable to offer any cancellations unless we reach an event sell-out. If the event does sell-out we will process any cancellation requests in order of receipt (subject to the administration fee), providing that the space can be re-sold to another participant through our system, please note that your tickets are not transferrable directly. If you wish to submit a cancellation request, please contact us.
At this close stage to the event, we have to finally commit a number of items of expenditure, based on the predicted final number of seats sold, hence having to take this approach to cancellations.
